Job Summary
Our client in the construction industry is seeking to employ a Tender Administrator to support their Port Elizabeth team.
Requirements:
- Grade 12 (Matric).
- Minimum of 4 years’ relevant working experience.
- Background or experience in the construction/electrical field is advantageous (not essential).
- Excellent time management skills and the ability to work under pressure.
- Willingness to work extra hours when required.
- Ability to thrive in a high-stress environment.
- Valid Driver’s License.
- Sober habits with a good attendance record.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving and decision-making abilities.
- Proven ability to meet deadlines.
Responsibilities, but not limited to:
- Search for tender advertisements via newspapers, CIDB, EasyTenders, and related websites.
- Request and manage funds to purchase tender documents.
- Liaise with courier companies to collect and deliver documents to/from client offices.
- Download and print relevant tender documents.
- Review documents and make notes of all requirements.
- Update the Tender WhatsApp group weekly with current tenders.
- Maintain the whiteboard and update the tender schedule with briefing dates, closing dates, times, and locations.
- Prepare and compile all necessary documents for tender submissions (e.g. CVs of key personnel, company documents, returnables).
- Request pricing from relevant suppliers.
- Type and format Bills of Quantities.
- Confirm management availability for document review and sign-off.
- Make and file copies of all submitted tender documents.
- Follow up on tender outcomes and update tracking spreadsheets accordingly.
- File and organize all tender documentation by tender number.
- Assist with pricing for minor works.
- Register the company on supplier databases.
- Handle requests for extension of tender validities.
- Maintain updated records of tender results in both hard and soft copy formats, and store them securely on the server.
