Job Summary
Our client is looking for an experienced receptionist with a minimum of 3 years' experience. The receptionist will be required to manage the front desk on a daily basis and to perform a variety of administrative and clerical tasks to the highest quality standards.
General Duties and Responsibilities:
- Greet and welcome guests as they arrive
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, including all necessary stationery and materials
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (logbook, visitor badges)
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Keep updated records of office expenses and costs
- Perform other clerical duties such as filing, photocopying, transcribing and spreadsheets
- Ordering various business requirements, e.g. refreshments, diesel, sponsorship and promotional items, etc.
- Managing raised purchasing orders
- Capturing invoices
- Assistance with opening/closing project files as may be required from time to time
- Maintain a register of vehicle-related issues to ensure licences and services are kept up-to-date
- Ad hoc projects/reports
Requirements and Skills:
- Speaks English and Zulu
- Proven work experience as a receptionist, front office representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment
