TENANT LIAISON OFFICER- Cape Town
Role Purpose:
To oversee the management of the building complex, including management of relationships with tenants, rental collection, leasing of units and management of service providers and maintenance of the building.
Minimum Requirements:
Grade 12 education
Relevant qualification in built environment, i.e. building/property management
2-3 years building management, property management and/or tenant liaison experience
2 years administration experience
Basic accounting knowledge and experience
Computer literacy is essential.

Marketing

Pre-take on assessment
- Enquiry/applicant database compiled and constantly updated
- Outcomes communicated
- Application forms are captured and recorded correctly
Take on, handover and record keeping
- Leases in place and meet the legal requirements
- Qualifying tenants are aware of the requirements of the lease
- Tenant data updated on the Novtel system
- Leases are filed to facilitate easy access
- Oversee the handover process to new tenants, ensuring that all documentation is complete and forms are signed
- Inspect units prior to the tenant taking occupation
- Provide a snag list to tenant informing them that faults must be reported within seven (7) days
- Show new tenant/s around the unit and complete a handover checklist together with the tenant
- Welcome and formally induct new tenants
- Discuss house rules with new tenants ensuring that the tenant fully understands the conditions
Accounts
- Monthly statements for each unit printed by 15th of month
- Print final notes by 4th of month
- Receipts made out timeously
- Debit order sent on correct date
- Rejections dealt with according to policy
- Download bank statements daily
- Deposit refunds paid to exiting tenants
- Daily and monthly age analysis submitted
- Overdue accounts are blocked
- Disconnection forms submitted to municipality by the 25th of the month
- Disconnection forms filed
Debt Collection
- Manage the rental collection process through:
- Distributing rental statements
- Reviewing the arrears report
- Following up on tenants that are in arrears
- Distributing arrears letters and final notices
- Implementing credit control procedures through:
- Calling of tenants who have not paid by the 6th of each month
- Visiting tenants who are more than 1 month in arrears
- Reporting on age analysis to the Manager
- Inspecting all arrear rental units weekly to ensure tenants have not absconded
- Identify tenants in arrears for handover to attorney for legal collection and eviction process
- Liaise with attorney and track progress while continuing collection initiatives
Tenant relationships
- Tenants are managed and lease agreement is upheld and enforced
- Tenant details are kept updated on the system
- Tenant focus groups established and supported
- Conflict dealt with in affirm, but fair manner
- Good and clear communication channel created and maintained with tenants
Office Administration
- Administration and files sorted, and kept up to date
Welfare Advise and Support
- Welfare referrals provided where appropriate
Reporting
- Produce reports covering vacancies, proposed evictions, absconders, waiting lists, maintenance, cleaning and security issues
