Duties and Responsibilities:
-Assist in daily route planning of fleet
-Creating pins on system for route.
-Noncompliance in route planning and whereabouts of vehicles.
-Assist with conducting daily checks and discussions with drivers on operating licenses
-Non reporting of damages or transgressions
-Noncompliance on telephonic declarations and routes
-Assist in planning driver rosters according to company policies and procedures
-Ensure all trucks are rostered daily and daily identification of truck whereabouts on the fleet list
-Ensure all administration remains up to date (fuel, reports)
-Daily checking and reporting on fuel consumption of trucks
-Ensure licences and COF are up to date on all vehicles and report to National Operations Manager
-Assist with investigating and reporting on all accidents/incidents and creating of C- numbers.
-Ensuring that all machinery / equipment is serviced within the allowed service intervals
-Send email to OPS room on a daily basis (ETA of Truck at the depot to submit Load documentation)
-Assist with driver declaration’s (AM and PM)
-Assist with checking of documents after loading (require photos)
-Photos of load strapped before and after from all drivers and implemented
-Assist with checking of documents after off-loading (require photos)
-Assist with following up with Debriefing depots that all documents were received
-Hourly WhatsApp feedback to clients on position of trucks and eta.
-Ensure exact address is obtained from relevant client for loading and off loading
-Send pins to drivers for loading and off loading
-Check on drivers to ensure they only stop at designated stops to sleep.
-Planning of a tripsheet for every driver that entail stops as well as filling up with diesel.
-Ensure all trucks are off the road between 23h00 and 04h00 and report on exceptions.
-To ensure that express loads eta are adhere to as requested by customer.
-Regular photo checks on condition of trucks
-Provide information updates by drivers to management
-Check pre-trip inspections daily and ensure all faults are reported
-Assisting with vehicle assessments
-Updating and maintaining company vehicle file with relevant information (i.e., services,repairs, costing etc.)
3. Technical and Procurement
-Ensure that logbooks are completed correctly by the drivers for timeous repairs by technical department
-Work closely with maintenance team to find ways to reduce downtime due to repairs
-Report any defects from vehicle inspection to National Operations Manager
-Ensure all damages are reported to National Operations Manager and technical department
-Non-compliance on reporting faults or damages
-Non-compliance in disciplining drivers
4. Customer Service
-Deal with customer inquiries courteously and efficiently
-Hourly WhatsApp feedback to customers on position of truck and eta
-Knowledge of services and/or operations
-Assist with addressing customer special needs
-Providing feedback to management
-Outstanding complaints and claims.
