Job Summary
The incumbent looks after the administrative tasks associated with projects and works collaboratively with the project manager and team to maximise productivity. A high level of accuracy and the ability to meet deadlines is necessary. Professionalism and reliability are crucial to this position. The ideal candidate for this position is a self-starter who can work in a fast-paced environment.
Ability to liaise with contractors, colleagues and all stakeholders is necessary.
Key Accountabilities:
- Maintaining contact with contractors
- Scheduling appointments
- Schedule meetings and keeping of minutes
- Break down project into doable tasks and estimate duration
- Prepare and distribute project materials
- Implement policies and procedures
- Create weekly workflow and monitor progress
- Alert the project manager of issues as they arise
- Report on team and project performance to Project Manager
- Act as point of contact for project team and facilitate communications
- Assess project risk
- Assist with calculation of project metrics
- Collaborate on stakeholder presentations
- Foster positive relationships with stakeholders
- Order resources
- Procuring supplies
- Visiting worksites
- Assisting with the preparation of reports
- Track expenses and work on budget forecast to ensure that resources are used efficiently
- Organize venues
- Assist with planning
- Keeping project calendar up to date
- Maintain compliance regulations
Experience and Qualifications:
- Matric.
- Basic qualification in Project Management
- Relevant Administration training or qualification
- Time management skills and ability to work efficiently under pressure
- Problem solving skills
- Ensure productivity and meet deadlines
- Effective communication and interpersonal skills
- Accuracy and attention to detail

- 3 - 5 years administration experience
